Working Relationship
The TAAIS Executive Director provides administrative leadership, coordination, support, and on-going supervision of all society activities as defined by the Board of Directors. This position operates remotely, with office operations generally conducted Monday through Friday, excluding holidays. Some weekend and evening work is required including the Annual Meeting and Board/Committee meetings. The Executive Director is the only full time, dedicated staff. The Annual Meeting planning and staffing is outsourced but the Executive Director attends the Annual Meeting and is support staff for the Board of Directors Meeting and the Annual Business Meeting Luncheon.
The Executive Director reports to the Society President, and also to the Board of Directors and Committee Chairs. This is a full-time, remote, salaried, independent contractor position.
Duties:
1) Administration
Coordinate and supervise the daily operations and business functions of the society.
Continually assess the management and organizational needs of the society and make recommendations to the Board of Directors when changes in structure, funding or support may be advisable.
Assume responsibility for the maintenance of all society records and files.
Assure that the society, its directors, and committees are operating in compliance with the organization's Bylaws and Policies.
Define responsibilities and supervise any independent contractor support personnel as needed.
2) Financial/Fundraising
Develop and manage the society’s operating budget on an annual basis.
Create and provide quarterly financial reports to the Board of Directors.
Perform all bookkeeping tasks using Quickbooks.
Spearhead fundraising efforts for the Annual Meeting and other meetings.
Bill for and collect annual membership dues from members.
Coordinate with third party investments manager to oversee society reserves.
3) Event Planning
Annual Meeting
Work with the Meetings Committee to develop the topics and speakers for the Annual Meeting
Oversee the outsourced staff who plan the Annual Meeting.
Prepare agenda/reports for the Board of Directors Meeting.
Prepare agenda/reports for the Annual Business Meeting.
Attend the Annual Meeting and staff the Board of Directors & Annual Business Meetings.
Allergy Practice Management Symposium
Work with the course director to develop topics and speakers.
Solicit and confirm funding for the Symposium.
Record and confirm registrations.
Coordinate all meeting logistics with the hotel including meeting room set up, food & beverage selections, audio visual needs, and billing.
Collect speaker biosketches and Powerpoint presentations. Communicate with speakers about meeting logistics.
Staff and supervise the Symposium on-site.
Tabulate and distribute evaluation form results.
Manage the payments and finances of the Symposium.
Create a final budget for the Symposium.
Annual Primary Care Residents’ Conference on Allergy, Asthma & Immunology
Work with the course director to develop the topics and speakers.
Solicit and confirm funding and sponsorships from up to 16 industry exhibitors.
Solicit nominations from training program directors of residents to attend.
Record and confirm registrations.
Coordinate all meeting logistics with the hotel including meeting room set up, food & beverage selections, audio visual needs, deposits and billing.
Collect speaker biosketches and Powerpoint presentations. Communicate with speakers about meeting logistics.
Staff and supervise the Conference on-site.
Tabulate and distribute evaluation form results.
Manage the payments and finances of the Conference.
Create a final budget for the Conference.
4) Board of Directors and Committees
Schedule, develop agenda and reports for, attend, compose the Minutes, and execute action items for quarterly Board of Directors & Committee Chairs meetings.
Schedule, develop agenda for, attend, and create Minutes for Committee meetings including Legislative, Meetings, Memorial Foundation, and Advocacy.
Work with Legislative Committee and TAAIS lobbyist to promote legislation and follow legislative issues that can affect allergists/immunologists in Texas. Inform the membership of current legislative issues and solicit their help with advocacy.
5 ) Advocacy/Programs/Social Media
Work with Asthma Scholarship Committee to promote the annual Asthma Scholarship Award for high school seniors with asthma wanting to pursue a college education. Collect applications, facilitate the ranking/rating of the applications by the committee, inform the winners, issue awards.
Solicit members’ participation in the annual TAAIS Mentorship Program, pairing younger allergists/immunologists with more seasoned allergists/immunologists to meet 4-5 times to share insight on practice management and career issues, facilitating networking and long-term relationships.
Solicit and collect research proposals from A/I Fellows-in-Training for the annual “Outcomes in A/I Fellow’s Research Award”. Work with committee to select the winner, issue funding to the winner’s institution. Follow progress of the research and coordinate the winner’s research presentation at the TAAIS Annual Meeting.
Manage and update the TAAIS website, TAAIS Facebook page, TAAIS Instagram and TAAIS X accounts.
6) Membership
Maintain society membership database.
Solicit new members, process membership applications.
Send frequent email blasts to members about timely topics related to allergy/immunology.
Respond to members’ questions on a variety of issues.
Develop and distribute Annual Newsletter to the membership.
Qualifications
Bachelor’s degree in Business, Communication or a related field.
Minimum of 5-10 years of leadership experience in association or nonprofit management.
Strong organizational, written/verbal communication, and operational management skills.
Proficiency with Quickbooks, Excel, and social media platforms.
Ability to work independently and remotely.
Travel to meetings in Central Texas twice per year.
