INVESTMENT OPERATIONS ADMINISTRATIVE ASSISTANT, MIT Investment Management Company (MITIMCo)-Investment Operations (IO), to sit at the intersection of the IO team's administrative and operational functions and provide comprehensive, high-level administrative support to all members of the team, while interacting and collaborating with other operational, investment management, and real estate development professionals. Responsibilities include processing activities/communications received within research management system (Dynamo); supporting efforts to receive ongoing manager and investment transparency reporting/data; assisting with information outreach campaigns; assisting with the implementation of processes/controls and performing data quality reviews to ensure lifecycle data is timely, accurate, and complete; managing and communicating project deadlines; acting as project manager on ad hoc projects as assigned; performing and supporting investment data validation and capture initiatives, data consolidation, and process documentation; participating in and driving rigorous cross-training; assisting with form/document completion and signature processes; coordinating and scheduling meetings; and providing back-up support as needed.
REQUIRED: high school diploma or its equivalent; at least five years' administrative experience; initiative; interest in learning about investment operations and financial instruments; excellent computer skills, including proficiency with Outlook, PowerPoint, Word, and Excel; strong analytical, interpersonal, and verbal and written communication skills; meticulous attention to detail; and discretion and judgment with confidential information/issues. Must be able to set priorities and multitask under pressure and despite frequent interruptions; independently resolve complex problems in a thorough and timely manner, determining the appropriate course of action with minimal supervision; suggest and implement improvements to increase the team's effectiveness and efficiency; and evaluate, synthesize, and communicate information clearly.
