Virginia Beach Friends School seeks a dedicated and skilled Business Manager to start on March 13, 2023. The Business Manager reports to the Head of School and is a member of the Senior Administrative Team. As the primary administrative staff members, the Business Manager is responsible for all business, finance, and human resources duties, along with managing the Facility Manager and IT Manager. The Business Manager is responsible for the flow of cash through organization and maintains the integrity of funds and other valuable documents. The Business Manager also works in collaboration with the admission, special programming and development department.
Specific Duties and Responsibilities include:
FINANCE
Responsible for all areas of the accounting function, including accounts payable, accounts receivable, student billing, payroll, annual audit, purchasing, cash management, general ledger, collections, taxes, etc.
Enhance and/or develop, implement, and enforce policies, procedures, and strategic goals to ensure implementation of the strategic plan and the future sustainability of the school and to improve the
overall operation and effectiveness of the school.
Responsible for the preparation and presentation of monthly financial statements and analysis of accounts to the Finance Committee
Implement strategies to achieve the financial goals of the strategic plan and long-range financial plan
Manages an integrated, automated financial management information system.
Develops innovative solutions to the challenges in the areas of financial strategies, financial analysis, reporting and information dissemination to management, use of appropriate systems and technology, and cost-effective use of resources.
Optimize the handling of the school’s banking and investment manager relationships.
Prepare the annual budget and meet with budget managers in conjunction with the Head of School and maintain a strategic planning forecast to be used in budget preparation.
Ensures that all expenditures are consistent with the approved budget, or that deviation from the budget is approved in advance by the Board of Trustees
Responsible for analyzing and determining financial aid awards for enrollment contracts
Responsible for annual tuition rate comparisons and tuition schedules
Responsible for the annual audit
Works with parents on financial issues relevant to their child’s enrollment at VBFS
Administers the tuition insurance refund program, and independent school parent loans via third-party
BUSINESS
Evaluate, purchase and oversee property, liability, D & O and workers’ compensation insurance programs
Coordinates with various government and insurance inspectors to ensure that the school is operating consistent with health and safety codes. Ensures that violations are corrected in reasonable time and that necessary reports are filed in a timely manner.
Responsible for the religious exemption process for the school
Oversee the annual benchmarking reports for DASL and complete all reporting requirements
Maintains compliance with governmental regulations and changing regulatory environment by staying current on law and regulations that may affect compliance.
Attends Board meetings and Board retreats
HUMAN RESOURCES
Responsible for the administration of personnel programs and policies as they relate to hiring and termination procedures, time off, Workers’ Compensation, safety, training, performance, evaluation and compensation.
Responsible for faculty and staff employment contracts
Formulate and revise employment policies, and community policies
Conducts all background checks
Maintains all up-to-date personnel records
FACILITIES
Responsible for managing the Facility Manager to include vendor contracts, required documentation and compliance, purchasing, RFP’s, maintenance plans, building repairs, moves, and other building needs
Responsible for managing the deferred maintenance plan and long-term facility goals
Supervises the coordination of scheduling of facilities for both school activities and summer work
Responsible for maintaining the Crisis Management Plan
TECHNOLOGY
Supervise the Manager of Technology and manages and approves all purchases of computer equipment and services
Responsible for creating and implementing technology goals of the strategic plan.
Requirements:
Four-year degree in business from an accredited college or university is required. Master’s Degree in Business Management or related field strongly preferred.
At least five years’ experience in accounting, financial analysis, and budget formulation, ideally in education or non-profit
Strong background in QuickBooks, and knowledge of all office suite programs, and G-Suite
Comprehensive knowledge of the entire functioning of a school or non-profit
Experience in stewardship, cultivation, and generation of non-tuition revenue and capital funding preferred
Strong accounting / financial analysis background as well as understanding and skills in all aspects of facility management and maintenance
Understanding of admission cycles in a school setting that relates to budget preparations.
Involvement in strategic planning and vision setting preferred
Represents the school in the larger community in a positive manner that reflects the values of the school
Exceptional interpersonal skills with the ability to build and maintain effective, professional relationships with students, faculty, administrators, parents, alumni, and guests.
High degree of cultural competency and demonstrated success in working with individuals from diverse backgrounds.
Strong organization, confidentiality and time management skills
