The Boston University Investment Office, formed in 2007, along with the Investment Committee of the University's Board of Trustees, is charged with managing the University's pooled long-term endowment assets for the current and future support of operations and with preserving the long-term purchasing power of the Endowment. The University seeks to add a thoughtful and bright Investment Office Manager to join its collegial, nine-person investment team. The Office Manager will play an integral role on the team and will be involved in managing the Investment Offices day-to-day administrative and functional activities. The position will report to the Chief Investment Officer and work closely with all team members, including the Investment Operations Manager.
Responsibilities
- The position covers the responsibilities and functions of executive assistant, administrative and functional office manager, and operations analyst. It requires independent, self-directed work, and ability to make decisions while processing a heavy flow of information and multitasking across three roles. Also, the position requires autonomous judgement to determine how to achieve desired/expected results and a mix of daily and weekly communications/progress reports.
- Demonstrate comprehensive knowledge of Investment Office functions and communicate and resolve issues independently.
- Manage the office email accounts to track and respond to both current and prospective managers in a timely manner. Identify, categorize, prioritize, and log a high volume of emails and incoming manager materials in online database system, screen for and follow-up on actionable items and forward key manager updates and queries to the investment team for further action.
- On a daily basis, prepare cash flows for University's endowment, ensuring they are completed, distributed to the treasury team and custodian, and tracked.
- Support the Investment Operations Manager with annual tax and audit confirmation processes, coordinating with the BU tax team and auditors as needed.
- Coordinate with Investment Committee members for the scheduling of meetings and delivery of materials. Liaise with the Assistant Secretary of the Board, Office of the President, and Financial Affairs teams in administrative matters.
- Provide administrative support, including managing the office phone line, preparing travel and expense reports, greeting visitors, maintaining team calendars, and assisting with scheduling, filing legal documents and Investment Committee materials. Assists in the planning and overseeing of moderately complex projects that influence department functioning and relationships.
- Direct office functions by maintaining supplies, light recordkeeping, and directing projects with various University departments and outside organizations for service and supply requests, as well as interdepartmental team projects. Hiring and supervising student intern(s).

- Strong numerical literacy and analytical, writing and proofreading/editing skills
- Experience working with Word, Adobe, Excel, PowerPoint, and Outlook
- Preference for 5 - 8 years of work experience
- Preference for office management or executive assistant experience in the financial services industry
- Bachelors degree with demonstrated strong academic performance required; preference for financial, legal and/or investment terminology familiarity
