GLOBAL INVESTMENT STAFF (GIS) ADMINISTRATIVE ASSISTANT , MIT Investment Management Company (MITIMCo) , to perform diverse and complex tasks for the GIS team. Responsibilities include resolving problems/issues by interpreting policies and collaborating with colleagues; coordinating extensive domestic/international travel; scheduling meetings; managing the flow of information into the GIS's database (Dynamo); synthesizing, evaluating, and communicating information clearly; evaluating tasks and processes with an eye towards efficiency; processing expense reports and reimbursements; and regularly assisting with document and presentation edits. Other tasks include preparing and organizing pre-travel due diligence materials; managing research materials; supporting development of board and investment memos; maintaining up-to-date passport and visa privileges for team members; and handling other duties as assigned, e.g., data and reporting administration, event planning, managing weekly meeting agenda, maintaining the project tracker, and coordinating the investment pipeline report. Will also be part of a broader office administrative team that partners to provide ad hoc backup for the office.
Job Requirements REQUIRED : high school diploma or its equivalent; at least five years' office administration experience; excellent communication and interpersonal skills for representing the work area and MIT community; initiative and ability to work independently with minimal supervision; strong computer skills, including fluency with Outlook email and calendaring, Excel, and Microsoft Word; ability to develop simple PowerPoint presentations; comfort interacting with high-level executives; and discretion and judgment with confidential information/issues. Must be able to set priorities and multitask; problem-solve; manage competing demands while working under pressure, within tight deadlines, and despite frequent interruptions; and suggest and implement improvements/refinements to improve the overall effectiveness of the team.
