Responsibilities for this role, with limited supervision, are as follows:
Independently performs daily assessment of escalated and exception scenarios. The majority of routine items are performed by our external service provider as a result of our outsourced business model. The team member is empowered to make decisions to resolve a wide range of items relating to policies, procedures, varying account type requirements and intermediary partners. In resolving items, based on assessment of the situation and whether further escalation is required, team member may present findings to appropriate management and influence the outcome of the situation. Team member balances financial and reputational risk with the client expectation finding an amenable solution to all parties. Team members have developed strong relationships with business partners as they explain the rationale behind recommendations. Team member ensures all items are appropriately documented to memorialize the action taken and create an audit trail.
Develops and maintains effective relationships with a dedicated list of contacts at transfer agent back office in order to facilitate problem solving, issue resolution, communication of Fund policies and partnering on corporate initiatives. The team member is the primary point of contact for this relationship and has the responsibility for ensuring alignment to Wells Fargo strategic goals as well as Fund policies and procedures. Team member must be available after hours and as a result maintains corporate issued Blackberry/phone and laptop. After hours support is not frequent, but when it occurs, it involves escalated or extremely time sensitive items. Team member must assess situation and develop sound resolution demonstrating in-depth understanding of transfer agent regulations, back office processes, and our internal policies and procedures.
Develops impact analysis of initiative on transfer agent related policies, procedures, workflows, and system set-up
Facilitates consultative discussions with internal business partners and external service providers to identify operational impacts of initiative
May independently lead and direct activities of external service providers ensuring timely completion of project deliverables
Conducts analysis and develops meaningful reporting of transfer agent data as appropriate for internal business partners
Assesses risk, develops mitigation plan, presents to management, and executes as appropriate
May independently represent Transfer Agent Services in leadership role on corporate led projects and initiatives
Leads the development and implementation of process improvements and efficiencies
May direct other team members in completion of deliverables
Interacts with internal customers in a team-oriented environment
Ensures deliverable are met across team assigned work, including work delegated to other team members
Identifies opportunities to enhance the internal and external customer experience and build and present proposal
Cross-train within the team to perform other duties
Other responsibilities include but are not limited to focusing on initiatives impacting the transfer agent including:
Medium to large scale corporate initiatives with moderate to complex transfer agent impact
Product launches, closings, and liquidations
Fund mergers, acquisitions and data conversions
7+ years of operations analysis experience
Ability to research, compile, and perform complex analysis on critical operational data
Extensive knowledge and understanding of operations policies and procedures
Ability to independently develop strategic recommendations on operational data
Ability to partner with, and lead other functions on operations-related projects
Excellent verbal, written, and interpersonal communication skills
Outstanding technical and critical thinking skills
Advanced Microsoft Office skills
10+ years of mutual fund industry experience
Other Desired Qualifications
Minimum 5 years of related transfer agent industry experience or equivalent combination of education and experience
Must be familiar with aspects of an operating transfer agent or back office operations
7 years of mutual fund industry experience, some Luxembourg experience preferred
Minimum 5 years of related transfer agent industry experience or equivalent combination of education and experience; Luxembourg experience preferred
Ability to travel up to 5% of the time
The salary range displayed below is based on a Full-time 40 hour a week schedule.
