This is a full-time, exempt position reporting directly to the Director of Finance and Operations. This position works closely with other School leaders, administrators, and faculty/staff as well as has regular interaction with external parties such as trustees, bankers, investment managers, donors, parents, independent school industry professionals, and more.
• Maintains General Ledger accounting system, including addition of new accounts and projects, change/inactivation of certain accounts, reorganization of chart structure when appropriate, and revision/addition of budgets.
• Reviews journal entries and pre-posting reports, and posts all modules of accounting system to general ledger, including A/P, Student Billing, Fixed Assets, Cash Receipts, Giving, Parent’s Association accounting, and all adjustments to general ledger.
• Prepares journal entries related to Investments, Allowances, Net Present Value Calculations, etc.
• Oversees capitalization policies, procedures, and enforcement. Ensures relevant purchasers are aware of and comply with capitalization standards. Tracks investment in plant additions, improvements, disposals, depreciation, and book value.
• Performs and/or reviews general ledger account reconciliations monthly, quarterly, and annually. Reconciliations will always include budget-to-actual variance explanations and/or sub-ledger to general ledger calculations/explanations.
• Coordinates annual audit and oversees preparation of all documentation. Works with external auditors to compile financial statements and footnotes. Implements any required audit adjustments or suggestions. • Prepares all documentation for Board Audit Committee, including analytical analysis of current versus prior year information as well as forecasting.
• Works closely with external accountants to coordinate and prepare annual 990 and 990-T filed with IRS, including adoption of updated compliance procedures and standards.
• Continually monitors, evaluates, implements, and documents accounting policies and procedures to identify changes that would increase internal controls, efficiency, and the accuracy of financial records. • Files annual Capital Expenditures Survey for the US Census Bureau/Department of Commerce.
• Responsible for the oversight and review of payments and receipts of cash with and without donor restriction ensuring the appropriate accounting methods for accuracy of restriction presentation.
• Supports the Accounts Payable Manager in the preparation of the annual 1099 process.
Oversight and Other Compliance
• Works with Director of Finance and Operations to develop the annual budget for presentation to and adoption by the Board Finance Committee. Developing the annual budget includes detailed institutional research and benchmarking, particularly as it relates to salaries, compensation, expenses, tuition, plant, reserves, endowment, giving, debt, investments, and financial statement line items. Prepares year-to-date budget performance analysis for review by the Finance Committee.
• Responsible for proper cash management policies and receivable collection policies. Supervises recording and reporting of student billing, accounts payable, cash receipts, payroll, and general ledger.
• Reviews weekly check disbursements for proper documentation as well as appropriate new vendor documents.
• Acts as the Payroll and Benefits Administrator’s backup for bi-weekly payroll. • Closely monitors financial statements of the Operating Fund and, with the Director of Finance and Operations, prepares information for presentation to Finance Committee of Board.
• Oversees tracking of investment accounts and proper allocation into permanently and temporarily restricted funds.
• Serves on Investment Committee of the Board and as a secondary liaison between the Investment Committee and the outsources investment manager.
• Records minutes of the Finance, Audit and Investment committee meetings.
• Remains abreast of developments regarding governance and compliance related to accounting and finance, human resources, tax, and other areas of concern. Obtains at least 40 hours of relevant continuing professional education annually.
• Reviews and approves any contracts in the School’s name valued at $5,000 or above. Tracks new and existing contracts over $5,000.
• Serves as authorized signer on all School financial accounts.
• Manage the expenditures from donor restricted fund by communicating balances between budget managers and the Advancement Office.
• Research and stay abreast on new fiduciary platforms and systems. Help to implement new systems and ensure proper procedures and controls are in place.
Financial Planning and Operations
Working with the Director of Finance and Operations and Finance Committee of the Board, assists with forecasting and implementation of the Strategic Financial Plan:
? Performs annual, in-depth analyses of faculty and staff compensation, making recommendation for annual increases/budgeting;
? Performs annual, in-depth analyses of other financial statement line items or programming finances, including internal and external trend analysis as well as benchmarking within the industry to make and implement relevant recommendations for adoption or improvement of policies;
? Works with Financial Aid Committee for tuition and non-tuition in estimating future needs and setting policies; ? Communicates regularly with technology, facilities, advancement, division heads, and other faculty/staff regarding budget questions or issues;
? Works closely with Advancement Office to provide information for donor stewardship and ensure proper gift/endowment tracking.
Financial Aid/Student Accounts
• Serves as resource for the Financial Aid Committee and provides assistance in the review of certain applications and establishment/enforcement of appropriate policies and procedures.
• Meets as needed with families with financial need or questions.
• Works with other committee members to ensure that all information necessary for consideration of the application is available for review.
• Secondary person responsible for contacting families with significant billing concerns and making arrangements to clear outstanding student billing accounts.
Bachelor’s degree in accounting or related field. Certified Public Accountant designation. 5 years or more experience in accounting, preferably in a non-profit environment. Proficiency in Blackbaud NXT is desired and must be proficient in Microsoft Office applications. Excellent interpersonal, organizational, and problem-solving skills. Capable of performing in a fast-paced environment paying close attention to detail. Strong interpersonal communication skills.
