ADMINISTRATIVE ASSISTANT I , MIT Investment Management Company (MITIMCo) , to provide ad hoc administrative support and organize and coordinate office operations and procedures in order to ensure organizational effectiveness, efficiency, and safety. Will provide back-up support to the receptionist, organize and coordinate office administrative operations, supporting facility maintenance, support the accounts payable process, identify efficiencies in administrative operations and procedures, provide back-up support to other operations administrative staff, and serve as a resource to the Investment Operations team for data collection. Typical responsibilities will include taking ownership of the overall organization, cleanliness, and efficiency of the office, including ensuring conference rooms, kitchen, and common areas are maintained; maintaining office supplies; handling preventive maintenance and repairs for equipment and facilities via coordinating work orders and maintenance staff; answering and directing calls; handling mail; participating in lunch-time coverage rotation; serving as primary back-up to office receptionist; maintaining daily schedule of meetings and meeting room assignments and directing visitors and staff appropriately; coordinating or assisting with the coordination of office events; and performing a variety of other duties as needed.
REQUIRED : two years of office management/administrative support experience; strong computer skills, specifically with Microsoft Office (Word, Excel, Outlook, PowerPoint); attention to detail; strong verbal and written communication skills; self-direction; ability to complete projects with limited supervision, interface with all levels of staff through executive management, multitask, and demonstrate flexibility when accommodating changing priorities; and willingness to suggest and follow through on improvements/refinements to improve overall effectiveness of the team.
