OPERATIONS ADMINISTRATOR , MIT Investment Management Company (MITIMCo) , to collaborate with MITIMCo's office services team on a variety of initiatives, including financial operations, office services, and administrative effectiveness. Will oversee overall departmental office services; oversee all space and building relationships, including renovations/modifications, seating, and serving as liaison with s building management; leading and partnering with CFO and HR on enhancing and maintaining the emergency response/evacuation plan; participating in ongoing assessments and evaluations of technology and/or decisions related to large-scale office equipment purchasing; managing and developing office assistant and receptionist; leading ad hoc projects as assigned, which may include PowerPoint presentations, collaboration tools, branding, office design, etc. Financial responsibilities include oversight of MITIMCo's overall budget; developing annual departmental budget proposals, documentation, and approval and allocation processes; oversight of general operating accounts and cost objects, systematic invoice processing for accounts payable and procurement card and travel card administration; and approving expenditures via Buy2Pay. CFO support will include meeting management; coordinating travel, itineraries, and reimbursements; answering telephone; and handling mail. Will also provide back-up support to other operations teams.
REQUIRED : bachelor's degree; two years' administration experience and five years' administrative support experience, preferably for senior level management; strong computer skills, specifically Microsoft Office (Word, Excel, Outlook, PowerPoint); excellent interpersonal, analytical, process management, collaboration, and verbal and written communication skills; desire to work in a team-oriented environment; demonstrated planning abilities; attention to detail; discretion and good judgment with sensitive/confidential matters; and ability to resolve complex problems in a thorough and timely manner, interface with all levels of staff, multitask, and accommodate changing priorities.
