REAL ESTATE ADMINISTRATIVE ASSISTANT , MIT Investment Management Company (MITIMCo)-Cambridge Real Estate Group , to support the Cambridge Real Estate Group, providing primary support for its Transactions Team. Will resolve problems/issues; provide support for multiple projects; provide backup for and interact closely with the other administrative staff; and communicate directly with a wide variety of clients/tenants, external real estate firms, MIT management, and faculty. Responsibilities include calendar management; preparing documents and presentations for meetings; planning, coordinating, and possibly attending, high-profile events; tracking documentation resulting from new acquisitions/leases and maintaining detailed property information in electronic databases; initiating process and systems improvements to workflows necessary to effectively monitor documents as they flow through the cycle; coordinating occasional travel, including itineraries and reimbursements; preparing agendas for weekly staff meetings, including minutes recording and distribution; triaging telephone calls and distributing mail; participating in lunch-time reception coverage rotation and providing general back-up support to the office services team (e.g., mail and kitchen maintenance) in the event of absences; and working on ad-hoc projects as assigned.
REQUIRED : high school diploma or its equivalent; five years' administrative/related experience; proficiency with Outlook email and calendaring, PowerPoint, Word, and Excel; initiative; ability to work independently with minimal supervision, set priorities and juggle multiple activities simultaneously, and work under pressure and with frequent interruptions; excellent communication and interpersonal skills; attention to detail; ability to resolve complex problems in a timely manner and suggest and implement improvements/refinements; comfort interacting with high-level executives; and discretion and good judgment with confidential information/issues. Bachelor's degree; experience with Adobe Acrobat; and familiarity with Photoshop, Adobe Illustrator, and InDesign preferred.
