JLL is currently seeking an Associate Move Manager to assist with corporate moves and relocation.
MAC MANAGEMENT: The practice of utilizing specialized knowledge, tools, and resources to effectively develop, assist and implement an organization’s relocation strategy, furniture implementation and small projects.
GOALS * Works as part of the MAC/Project Team (Moves), to support and document MAC processes * Ensure client satisfaction throughout the MAC process * Ensure all MAC activities are performed in a manner consistent with documented processes across regions * Ensure MAC Team reporting is performed as required * Support MAC Team with Budgeting and Financial responsibilities * Enhance own professional and personal skills
Assist MAC Lead on reports and other responsibilities related to the team: * BI Reports and Analytics * 360 - Work Order Completion and Expiration * Move Survey’s * Contract updates and RFP’s
Assist MAC Lead on Communications and Training for MAC Team: * Assist with new hires and new user set-up * Developing training documentation * MAC Communications to end user: Instructions, drop documents, etc (e.g., automated emails within tools, portal)
Support MAC Managers on Budgeting and Financial responsibilities so they can focus on delivering results * Interface with finance to understand timeline and processes * Finance Subject Matter Expert (SME) for MAC Team – Spar and PO Process * Create and Process Purchase Orders and SPAR’s
Ensure data accuracy in CenterStone: * Input data into CAFM System to maintain occupancy information * Upload furniture changes and layouts for small project update
Miscellaneous * Ensure all documentation is maintained on MAC SharePoint site * Participates in monthly MAC move and furniture meetings hosted by MAC Lead * Document and evolve processes to incorporation “best practices” into move projects * Comply with all Jones Lang LaSalle policies and procedures, including but not limited to time & expenses, ethics and business practice.
Facilitate communication between the following stakeholders: * Client, move points of contact and moving associate * Vendors and supporting suppliers * Project Manager * Occupancy planners * MAC Managers
EDUCATION AND EXPERIENCEB * 2 – 3 years of Facility, Project, or Construction related experience in a Corporate Real Estate environment * Background in Project Management, Construction Management, Architecture, or Project Strategy planning, desirable * Familiarity with architectural drawings and furniture and space planning concepts
TECHNOLOGY PROFICIENCIES * Strong in AutoCAD * Proficient in Move Management module (CenterStone) * Strong Microsoft Excel skills * Ability to utilize the Microsoft Office suite of technologies
KNOWLEDGE, SKILLS, AND ABILITIES * Organizational skills with the ability to identify and manage priorities * Excellent written and verbal communication skills * Detail oriented * Ability to multi-task and work both in a team and independently * Familiarity with architectural drawings and furniture and space planning concepts * Highly organized with strong analytical skills * Strong interpersonal skills with an ability to interact with executive level external and internal clients
